The Problem
The client operates a small, friendly and reliable plumbing services company specialising in central heating installation and boiler servicing.

12 months ago, their inhouse bookkeeper announced she was emigrating and would of course, be leaving her job in due course.

Being a transaction heavy business, this was a crucial internal operation that could not easily be absorbed by the current team.

The Solution
Having worked with the client for several years, when we found out about their dilemma, we posed our outsourced bookkeeping solution to them.

We spent a day onsite learning and understanding their business and processes to build a tailored approach to their bookkeeping.

Looking at it from a fresh perspective we were able to build in new efficiencies to enhance the process, saving time and costs.

Efficiencies included onboarding the entire team, including engineers, onto Hubdoc so receipts and invoices could be easily uploaded to Xero & taking over their payroll provision to alleviate further stress.

We also integrated Apron payments services into the process, which upon approval of the supplier payment run means we can process the payments on their behalf, safe in the knowledge everything has been paid correctly and on time.

The Outcome
Bookkeeping for the client is now under our control and the process has been streamlined, we manage the processing, reconciling and payment of suppliers whilst the client continues to raise their own sales invoices.

The client now has greater visibility of their financial performance with access to real-time information on Xero. Their Suppliers are being paid consistently and on time and we are always on hand to answer any queries.

It goes without saying the cost of our outsourced solutions including payroll versus a part time employee is incomparable, the client is delighted at the savings they have made.
